Privacy Policy
This Privacy Policy explains how True Grit Federation may collect, use, disclose, and protect information provided through this website and its support, volunteer, donor, event, and general-contact pathways.
Effective Date: July 28, 2026
Please read this policy before submitting information through the website. Share only the minimum information needed for True Grit Federation to understand and respond to your inquiry.
Before You Submit Information
True Grit Federation’s website forms and email are not secure medical portals. Do not submit medical records, Social Security numbers, financial credentials, payment-card information, government identification, account passwords, or unnecessary sensitive documents.
True Grit Federation is not a HIPAA-covered medical provider and does not represent that ordinary website forms or email communications are HIPAA-compliant.
TGF is not a crisis-response service, and website messages are not monitored continuously. Call 911 for immediate danger. In the United States, call or text 988 for crisis support. Veterans may call 988 and press 1 or text 838255.
1.Who We Are
True Grit Federation (“TGF,” “we,” “us,” or “our”) is a Texas-based 501(c)(3) nonprofit organization (EIN 87-3590490). We are a community-based nonprofit that helps veterans, adolescents, and families connect with support, resources, and community. We are not a hospital, clinic, medical provider, therapist, health plan, law firm, government agency, or crisis-response service.
This Privacy Policy applies to information handled through:
- The website at truegritfederation.org
- Get Support inquiries
- Volunteer inquiries
- Donor Information Requests
- General contact forms
- Email and phone communications initiated through the website
- Event or partnership inquiries
This policy does not govern independent third-party websites, social media platforms, or payment providers. Those services operate under their own privacy policies and terms.
2.Information We May Collect
Visitors may voluntarily provide information when they contact TGF or submit a form. Depending on the form or message, this may include:
- Name
- Email address
- Phone number
- Preferred contact method
- General reason for contacting TGF
- Volunteer interests and availability
- Organization or partnership information
- Donor or sponsorship interests
- Event-related inquiries
- General support-request information
- Accessibility accommodations voluntarily shared
- Other information a person chooses to include in a message
Please provide only the minimum information needed for TGF to understand and respond to your inquiry. You decide what you share. Information submitted through ordinary website forms and email is treated as general inquiry information, not as protected medical information.
3.Information Collected Automatically
Like most websites, this website and the technology services that operate it — such as the hosting provider, security services, analytics tools (if enabled), or embedded third-party services — may automatically process certain technical information. Depending on the services in use, this may include:
- IP address
- Browser and device type
- Operating system
- Referring page
- Pages visited
- Approximate location derived from an IP address
- Dates and times of visits
- Cookie or similar identifiers
- Security and error logs
Not every category above is necessarily collected. What is processed depends on the specific hosting, security, and technology services active on the website at any given time.
4.How We May Use Information
TGF may use information submitted through the website to:
- Review and respond to inquiries
- Route messages to the appropriate TGF representative
- Coordinate volunteer interests
- Respond to donor, sponsorship, or partnership inquiries
- Provide event-related information
- Share possible non-emergency next steps or independent resources
- Maintain basic operational and communication records
- Improve website accessibility and operation
- Detect spam, abuse, security threats, and technical problems
- Comply with legal obligations
- Protect TGF, website users, and the public
Submitting information does not guarantee a response, service, enrollment, referral, eligibility, or any particular outcome.
5.Website Forms and Email
Website forms send submitted information to TGF for review. Forms and email are convenient ways to start a conversation, but they are not secure medical portals, and email may travel through third-party systems before it reaches us.
Please do not submit highly sensitive information — such as medical records, Social Security numbers, financial credentials, or account passwords — through website forms or email.
Contacting TGF does not create a medical, mental-health, legal, fiduciary, or provider-client relationship.
Information submitted through forms or email may be reviewed by the people or service providers who reasonably need it to handle the inquiry or operate the website. Because email delivery, hosting, spam filtering, and form-delivery services are provided by third parties, those providers may process messages as part of delivering them.
6.Text Messages
Some TGF forms let you choose text (SMS) as a preferred contact method. If you do:
- SMS consent is optional. You can always choose email or a phone call instead.
- Message and data rates may apply.
- Message frequency may vary depending on your inquiry.
- Reply STOP at any time to opt out of future text messages.
- Reply HELP, or contact TGF using the information in the Contact Us section, for assistance.
- Choosing not to consent to SMS does not prevent you from receiving a response by another contact method you have provided.
- TGF should use SMS only for the inquiry or purpose described when consent was provided.
Standard text messaging is not an encrypted or secure channel. Please do not text sensitive personal information.
7.Donations and Payment Providers
Online donations to TGF may be completed through independent hosted services:
- Zeffy — TGF’s hosted Zeffy campaign at zeffy.com/en-US/donation-form/donate-to-change-lives-18645 (opens in a new tab)
- PayPal — TGF’s hosted PayPal donation checkout, available from the Donate page
TGF’s website does not directly collect or store payment-card numbers, bank login credentials, or PayPal passwords. When you follow a donation link, the transaction takes place on the provider’s own hosted checkout, and Zeffy and PayPal process transactions under their own privacy, security, and contractual terms.
Please review each provider’s current official privacy policy before donating:
TGF does not control and cannot guarantee the security practices of any third-party payment provider.
8.Cookies and Website Technologies
This website may use cookies and similar technologies. Depending on the services active on the site, these may support:
- Essential website functions
- Form operation
- Security and spam prevention
- Remembering consent choices
- Analytics or performance measurement
- Embedded third-party content
- Payment-provider functionality after following an external donation link
You may manage cookies through the site’s consent tool (where available) and through your browser settings. Disabling essential cookies may affect some website features.
9.Service Providers
TGF relies on technology service providers to operate this website and communicate with visitors. Categories of providers may include:
- Website hosting
- WordPress operation (the website runs on WordPress with the Elementor page builder)
- Form processing (the website uses a WordPress form plugin to deliver form submissions, such as Contact Form 7)
- Email delivery (TGF currently uses Gmail-based email accounts)
- Spam prevention
- Website security
- Backup and maintenance
- Analytics, if enabled
- Cookie-consent management, if enabled
- Donation processing (Zeffy and PayPal, as described in Section 7)
These providers may process information as needed to deliver their services. TGF does not represent where every provider stores data.
10.How Information May Be Shared
Information submitted to TGF may be shared:
- With authorized TGF representatives who need it to handle an inquiry
- With website, hosting, email, form, security, or technology providers that process it as part of operating the website and communications
- With independent resources or organizations when the person requests or authorizes a connection
- When reasonably necessary to comply with law, legal process, or enforceable requests
- When necessary to protect rights, safety, website integrity, or to prevent fraud or abuse
- In connection with an organizational restructuring, subject to applicable obligations
True Grit Federation does not sell personal information.
11.Children and Adolescents
TGF’s mission includes supporting adolescents and families, and we take extra care with information involving young people.
- This website should not be used by a child to submit unsupervised sensitive information.
- A parent or legal guardian should submit information on behalf of a minor when appropriate.
- TGF may request parent or guardian involvement before discussing services, opportunities, or participation involving a minor.
- Parents or guardians who believe a child has submitted information through the website may contact TGF using the information in the Contact Us section.
12.Data Security
TGF may use reasonable administrative and technical safeguards appropriate to its size and operations to help protect information submitted through the website.
That said, no website, email system, form, storage platform, or electronic transmission can be guaranteed completely secure. Please keep this in mind when deciding what to share, and submit only the minimum information needed for your inquiry.
13.Data Retention
TGF may retain information only as reasonably necessary for the inquiry it relates to, operational records, legal requirements, dispute prevention, security, or legitimate nonprofit administration.
When active records are deleted, copies may remain temporarily in routine backups until those backups cycle out.
14.Access, Correction, and Deletion Requests
You may contact TGF to:
- Ask whether TGF maintains information about you
- Request correction of inaccurate information
- Request deletion when legally and operationally appropriate
- Withdraw optional communication consent
- Ask a question about how your information is handled
TGF may need to verify your identity before acting on a request, and may retain information required for legal, security, financial, fraud-prevention, or recordkeeping purposes. TGF will handle requests consistent with applicable law.
To make a request, email truegritfederation@gmail.com with the suggested subject line “Privacy Request.”
15.External Websites and Embedded Content
This website may link to or embed content from independent websites, social platforms, donation providers, crisis resources, or community organizations.
Those organizations control their own privacy practices. TGF is not responsible for their policies, availability, content, or security, and a link from this website does not mean TGF endorses the linked organization.
When you follow a link to another website, that website’s privacy policy applies.
16.Changes to This Policy
TGF may update this Privacy Policy when its website, forms, vendors, or practices change.
When material changes are published, the effective date at the top of this page will be revised. Please check this page periodically for the current version.
